JOB DESCRIPTION:  

California State Parks Foundation seeks a detailed oriented and proactive Executive Liaison to support the Executive Director and Senior Management Team and serve as the point person to support the Board of Trustees. The Executive Liaison will provide administrative and project management support to the Executive Director, including scheduling, managing agendas, and tracking completion of action items for Senior Management Team meetings, business meetings of the Board of Trustees, and Board committee meetings. The Executive Liaison will attend meetings as needed to record minutes and track action items.  

This exempt role requires exceptional attention to detail, sound judgement, and a high level of discretion and confidentiality of all management and board deliberations. The ideal candidate will juggle multiple priorities, anticipate needs, and maintain a professional and positive demeanor in a fast-paced, mission-driven environment.  
 

RESPONSIBILITIES:  

Supporting Executive Director and Senior Management Team (50%):  

  • Working with the Development Director, supports Executive Director and Director of Programs in stewarding a portfolio of high-capacity donors, including scheduling meetings and travel, for cultivation opportunities. 
  • Scheduling meetings and project managing the work of the Senior Management Team, including developing agendas and ensuring that team objectives are documented and fulfilled. 
  • Working with Executive Director and management team members to set agendas, build out content, and assisting Associate HR Manager with logistics for monthly and quarterly staff meetings.
  • Project managing annual planning and budget process to support Executive Director and members of the Senior Management Team.  

Board of Trustees Support and Meeting Management (50%):  

  • Maintain up-to-date contact information and biographical information for all Board members in Salesforce, Sharepoint (internal file server) and BoardNetwork (board information management tool).
  • Working with Executive Director and committee staff liaisons, schedule, plan and support all board business meetings, committee meetings, convenings, retreats and other gatherings to ensure successful execution. 
  • Manage all meeting logistics and expenditures, including setting meeting dates, securing meeting venues, drafting and sending out calendar invites, drafting agendas, preparing, gathering, and distributing board packets and other relevant materials, and preparing minutes and follow-up actions. 
  • Organize and maintain accurate Board-related files and folders, including the Board orientation binder.
  • Implement and coordinate a Board engagement strategy, including ongoing leadership development of all Board Members, planning events, conference calls, briefings and other opportunities for Board members to hear about our work or share information with other board members.
  • Manage onboarding and off boarding of Trustees, including maintaining and updating the Board Binder, and planning and scheduling onboarding meetings, exit interviews and appreciations.
  • Utilize best practices for tracking, acknowledgment and reporting progress on Board engagement including tracking individualized participation and records for each board member (including onboarding, committee placement, coordinating impact tour attendance, volunteer opportunities, recognition, etc.).
  • Manage outreach to Board members around RSVPs for meetings and events, membership on committees and subcommittees, and monthly board newsletter.
  • Governance: Maintain by-laws and all governance documents, including organizing board resolutions so they are accessible in a central location, and reviewing all governance documents to ensure they are complete and up-to-date.
  • Ensure clarity, accountability and consistency in committee roles and responsibilities, and make recommendations to Executive Director to ensure effectiveness and identify areas for additional support or change.
  • Other duties as assigned.  
     

QUALIFICATIONS:  

  • Minimum of 5 years experience as an Executive Assistant or equivalent.
  • Highly organized and detail-oriented; excellent project management skills.
  • Demonstrated problem solving skills, emotional maturity, and diplomacy.
  • Good judgment, discretion and ability to maintain confidentiality.
  • Technology savvy – proficiency in Microsoft Office 365, video conferencing, competency in Salesforce, Asana, and Slack. 
  • Able to work independently with minimum supervision.
  • Excellent written and verbal communication skills.
  • Attend in-person meetings and events, sometimes on weekends or evenings, as necessary; some overnight travel required.
  • Valid California driver license required. 
  • Able to work at a computer for long periods of time, work in and move across an office setting, communicate with colleagues and constituents, and occasionally move items up to 25 lbs., with or without reasonable accommodation.
  • Able to participate in outdoor hikes and activities on unpaved or uneven ground as needed, with or without reasonable accommodation.

WORK ENVIRONMENT 

CSPF is a hybrid work environment, with number of days in the office dependent on individual role and responsibilities. Our expectation is that hybrid staff live within a commutable distance and are available for scheduled meetings and/or office hours at the main office in San Francisco.

COMPENSATION:  

This is a full-time, exempt position with a salary range of $78,000 - $90,000, based on experience.
